Creating Invoices
Atlas generates professional invoices from approved time entries (WIP) or fixed-fee engagements.
Invoice Creation Methods
From WIP (Time-Based)
- Navigate to Billing → Invoices
- Click + New Invoice
- Select the Entity
- Atlas shows all approved, uninvoiced time entries for that entity
- Select entries to include (or select all)
- Review the line items:
- Service description
- Hours
- Rate
- Amount
- Optionally adjust amounts or add manual line items
- Click Create Invoice
From Engagement (Fixed Fee)
- Open the entity → Engagements tab
- Click Generate Invoice on a fixed-fee engagement
- The invoice is pre-filled with the engagement's fee schedule
Manual Invoice
- Click + New Invoice
- Select the entity
- Add manual line items with descriptions and amounts
- Click Create
Invoice Fields

| Invoice Number | Auto-generated (e.g. INV-2026-00042) |
| Entity | Client being invoiced |
| Date | Invoice date |
| Due Date | Payment deadline (based on payment terms) |
| Line Items | Services, hours, rates, amounts |
| Subtotal | Sum of line items |
| VAT | Calculated if VAT-registered (default 15%) |
| Total | Subtotal + VAT |
| Notes | Additional notes or payment instructions |
| Bank Details | Practice banking details (from settings) |
Invoice Preview
Before sending, you can preview the invoice as it will appear to the client — a professional PDF with:
- Practice logo and details
- Client entity details
- Itemised line items
- VAT breakdown
- Payment instructions and banking details
Sending an Invoice
- Open the invoice
- Click Send
- Choose delivery method:
- Email — sent directly to the entity's email
- Download PDF — save locally to send manually
- The invoice status changes to Sent
