Asset Lifecycle Management
The Asset Lifecycle module provides internal IT departments with a complete register of hardware assets — from procurement through active use to disposal. Track warranty status, plan refresh cycles, and maintain a clear audit trail of who owns what across the organisation.
Asset Lifecycle sits within the Fleet & Devices sidebar group, alongside the fleet view and security posture modules.
Hardware Inventory
Maintain a comprehensive register of all IT assets:
- Desktops and laptops — make, model, serial number, specifications.
- Servers — physical and virtual server inventory.
- Network equipment — switches, routers, access points, firewalls.
- Peripherals — monitors, printers, docking stations, headsets.
- Mobile devices — phones and tablets issued to staff.
Each asset record includes:
| Field | Description |
|---|---|
| Asset tag | Unique identifier (auto-generated or manually assigned) |
| Category | Device type (laptop, desktop, server, network, peripheral, mobile) |
| Make and model | Manufacturer and product model |
| Serial number | Manufacturer serial number |
| Purchase date | When the asset was procured |
| Purchase cost | Acquisition cost for budgeting and depreciation |
| Warranty expiry | Warranty end date with configurable advance alerts |
| End-of-life date | Planned retirement date based on refresh policy |
| Assigned user | The individual currently using the device |
| Assigned department | The department the asset belongs to |
| Location / site | Physical location or office site |
| Status | Active, In Storage, Under Repair, Pending Disposal, Disposed |
Warranty and End-of-Life Tracking
Configure alerts for upcoming warranty expirations and end-of-life dates:
- Warranty alerts — receive notifications 30, 60, or 90 days before warranty expiry (configurable).
- End-of-life alerts — plan replacements ahead of scheduled retirement dates.
- Dashboard indicators — the fleet dashboard surfaces counts of assets nearing warranty expiry or end-of-life.
Refresh Cycle Planning
Plan hardware refresh cycles based on organisational policy:
- Define standard lifecycle durations by category (e.g. laptops: 3 years, desktops: 4 years, servers: 5 years).
- View upcoming refresh requirements by quarter and department.
- Estimate procurement budgets based on replacement counts and average costs.
- Track refresh completion — mark assets as replaced and link to successor devices.
Procurement Cost Tracking
Record procurement costs against each asset for budgeting and reporting:
- Per-asset cost — capture the purchase price at time of registration.
- Department cost rollup — view total asset value by department.
- Category cost analysis — understand spend distribution across device categories.
- Annual spend reporting — track procurement expenditure over time.
Asset Disposal Workflow
When assets reach end-of-life, follow a structured disposal process:
- Mark for disposal — change asset status to "Pending Disposal."
- Data sanitisation — record that data wiping or drive destruction has been completed.
- Disposal method — log whether the asset was recycled, donated, or destroyed.
- Disposal date — record the date of final disposal.
- Certificate of disposal — attach documentation for audit purposes.
Disposed assets remain in the register with full history for compliance and audit trail purposes.
