Client Portfolio Management

Client portfolio management in AtlasOS is built around long-term advisory relationships. The platform supports client profiling, secure document sharing, scheduled reviews, and FAIS-compliant record-keeping.

Managing Client Relationships

Each client entity in the financial advisory vertical captures:

  • Personal/company details — name, ID/registration number, contact information
  • Risk profile — conservative, moderate, aggressive, or custom risk categories
  • Advisory profile — products held, assets under management (AUM), advisory categories
  • Account manager — the assigned financial adviser responsible for the relationship
  • Review frequency — quarterly, bi-annual, or annual review schedule
  • Status — Active, Prospect, Dormant, Archived

Create and manage client entities from Clients & Contacts in the sidebar.

Client Portal for Secure Document Sharing

The Client Portal provides your clients with secure access to:

  • FAIS advice records — records of advice given, needs analyses, and product disclosures
  • Statements and reports — portfolio reports, fee statements, and review summaries
  • Contracts — retainer agreements, mandates, and FICA documentation
  • Onboarding forms — digital forms for collecting KYC information and risk profiles

Clients receive a notification when new documents are shared and can access them through a secure login. All access is logged for audit purposes.

Account Manager Assignment

Assign each client to a specific financial adviser (account manager). The account manager:

  • Receives all Smart Inbox items routed to their assigned clients
  • Is the default assignee for review tasks and compliance obligations
  • Appears on all client-facing correspondence and portal communications
  • Can be reassigned if team structures change — the full history is preserved

FAIS Advice Records

Maintain compliant advice records directly within the client profile:

  1. Open the client entity
  2. Navigate to the Advice Records tab
  3. Log each advisory interaction — date, nature of advice, products discussed, suitability outcome
  4. Attach supporting documents (needs analysis, quotes, product brochures)
  5. Records are versioned and timestamped for FSCA audit purposes

Review Scheduling

Schedule regular client reviews using task templates:

  1. Navigate to Practice Settings > Task Templates
  2. Create a review template with the appropriate frequency (quarterly, bi-annual, annual)
  3. Assign the template to individual clients or groups of clients
  4. AtlasOS generates review tasks automatically according to the schedule

Review tasks appear in the tasks view with the relevant client details and a link to the client's portfolio.

Entity Groups for Family and Corporate Groupings

Use entity groups to link related clients:

  • Family groups — spouses, children, and dependents managed as a unit
  • Corporate groups — a company and its directors, shareholders, or key employees
  • Trust structures — a trust and its trustees, beneficiaries, and founder

Entity groups allow you to:

  • View all related clients on a single screen
  • Generate consolidated reports across the group
  • Schedule group reviews and track group-level obligations
  • Manage family or corporate advisory relationships holistically
